The Legal Administrative Specialist serves as a key administrative and operational partner to the Chief Compliance Officer (CCO) and General Counsel (GC). This role provides high-level executive support, coordinates legal and compliance activities, and acts as a liaison between executive leadership, Board members, employees, and external stakeholders while handling sensitive and confidential information.
Primary Responsibilities
- Support the CCO and GC with daily administrative and executive-level tasks.
- Prepare and maintain corporate governance documents, including:
- Corporate filings
- Meeting agendas
- Board and corporate meeting minutes
- Corporate resolutions
- Manage the contract administration process, including routing, execution, and record maintenance.
- Coordinate calendars, meetings, events, trainings, and executive schedules.
- Process invoices, timesheets, expense reports, correspondence, and departmental records.
- Assist with compliance-related requests such as subpoenas, liens, and document inquiries.
- Support insurance renewals and certificate of insurance requests.
- Provide administrative assistance to other C-suite executives.
- Handle special projects and department initiatives as assigned.
Required Qualifications
- Bachelor's degree or Paralegal Certificate.
- At least:
- 2 years of executive administrative support experience.
- 1 year of experience in a legal, compliance, or law firm environment.
- Experience managing complex executive calendars and meeting logistics.
- Ability to prepare accurate corporate minutes and maintain legal records.
